Why reactive maintenance costs facilities managers more

The common assumption is that calling a contractor only when something breaks is cheaper than a contract. Our records usually show the opposite. A single neglected AC drain pan can turn a AED 300 cleaning job into a ceiling replacement and a water damage claim. We check the pattern before we check the parts. When we visit a building for the first time, we photograph every plant room, every roof riser and every access panel, and we log the age and condition of each system. What we find typically includes failed seals, blocked condensate lines and DB boards with no labelling. What we then do is sequence the repairs by risk, so the board sees the evidence before the spend.

What a contract actually contains

A maintenance contract is not a promise to be available. It is a written scope, a schedule and a reporting format. Our scopes list the assets covered, the frequency of each visit and the tasks performed per visit, which means an owners association can check the contractor against the paper rather than the other way round. We divide every scope into planned preventive work, which happens whether or not anything is wrong, and reactive allowances, which cover breakdowns between visits. Each task is tied to a checklist. Each checklist is signed by the technician and countersigned by your site representative. At year end, you receive the full visit history rather than a summary you have to trust.

Documentation the board can question

Every visit generates a dated report with photographs taken before, during and after the work. If we clean an evaporator coil, the report shows the coil before cleaning and after. If we recommend replacement of a part, the report shows the corrosion or the wear that justifies it. This matters when the same board member asks why a pump was replaced last quarter and is being replaced again this quarter. It also matters for DM and RERA expectations, where evidence of preventive maintenance is increasingly requested during building audits. Do you only work on annual contracts?

No. We take reactive callouts and one-off jobs, and many of our contract clients started that way. A contract simply becomes worthwhile when callout frequency rises, because the fixed schedule reduces both breakdowns and admin work. We will tell you honestly when you do not yet need one.

Are your technicians subcontracted?

No. Our technicians are directly employed by European Technical, which means they carry our training, our reporting standards and our accountability. You will not find a different crew on site each visit. This consistency matters for security passes, building familiarity and the quality of the maintenance log over time.

Can you present to our owners association?
